Who We Are

Sunderland Solar Panels is the website brand through which solar and related energy enquiries are collected.

Sunderland Solar Panels is the data controller for personal information submitted through this website.

For privacy enquiries or data protection requests, email [email protected].

Information We Collect

The information we collect depends on how you use the website. If you use the general contact form, we may collect:

  • your name;
  • your email address;
  • your telephone number, if you choose to provide it;
  • your postcode;
  • the service or enquiry type you select; and
  • the information you include in your message.

If you request a quotation, we may also collect:

  • the first line of the property address;
  • the type of property;
  • the solar or energy service you are interested in;
  • your approximate monthly electricity bill and interest in battery storage; and
  • any other information you choose to provide about the property or enquiry.

If you start a quotation from the savings calculator, the request may include your selected system size, roof direction, electricity use, tariff assumptions and calculated estimate. We also record the page from which the enquiry started.

Our hosting, form and security systems may process limited technical information needed to deliver and protect the website, such as your IP address, submission time and security-related request data. Please do not include bank details, identification documents or sensitive personal information in a general website enquiry.

How We Use Your Information

Information submitted through this website may be used to:

  • respond to and manage your enquiry;
  • understand the property, service and location connected with a quotation request;
  • determine whether the requested service can be provided in your area;
  • prepare or discuss a quotation;
  • maintain the security and reliability of the website and its forms;
  • prevent spam, abuse and fraudulent submissions; and
  • meet legal or regulatory obligations where they apply.

Sending a message or requesting a quotation does not sign you up for unrelated marketing.

Lawful Basis for Processing

We use the following lawful bases for the enquiry and security purposes described below.

Responding to and Managing Enquiries

We rely on legitimate interests to answer general questions and run an effective enquiry service. Where you ask us to take steps towards a quotation or contract, we use your information to take those steps at your request.

Website and Form Security

We rely on legitimate interests to process limited technical information needed to keep the website secure, prevent spam and abuse, diagnose technical problems and maintain reliable form submissions.

Legal Obligations

Where information must be retained or disclosed to comply with a legal requirement, processing may be necessary for compliance with that obligation.

Who We Share Information With

We do not sell personal information as a general marketing database. Where necessary to deal with your enquiry, information may be shared with:

  • providers used to host and secure the website;
  • providers used to process website forms, deliver enquiry notifications or manage quotation requests; and
  • professional advisers, regulators or public authorities where disclosure is required by law.

The website uses Cloudflare infrastructure for hosting, security and form processing. General contact enquiries are sent by email. Quotation requests are sent by email and saved in RnR Manager so they can be reviewed and followed up. General contact messages are not saved as quotation leads in RnR Manager.

Cloudflare provides website hosting, security and enquiry email delivery. Our quotation records are held in RnR Manager, our internal lead-management system, and enquiry notifications are delivered to our operational business email inbox. Access is limited to people handling the relevant enquiry.

Cloudflare operates internationally and may process information outside the UK. Its processing and international-transfer arrangements, including applicable standard contractual clauses and the UK Addendum, are described in Cloudflare's Customer Data Processing Addendum.

How Long We Keep Information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected and to meet applicable legal obligations.

General enquiry records and quotation records are kept for 12 months. At the end of that period, the records will be deleted or anonymised.

Cookies and Similar Technologies

This version of the site does not include analytics or advertising trackers. Forms keep the details you enter on the current page while you complete them and manage submission state. Hosting and security services may also process technical request information needed to operate and protect the site.

The contact page offers an optional Google map. It loads only when you choose to load it. Google then receives technical information such as your IP address and browser information and may use its own cookies or storage. You can read Google's Privacy Policy for more information.

Any change to analytics, embedded services or non-essential storage must be reflected in this policy and the site's consent arrangements before it is introduced.

How We Protect Information

The form system uses encrypted connections where available, server-side validation, spam and abuse protection and controls intended to limit access to enquiry information to those who need it for a legitimate purpose.

No method of transmitting or storing information online can be guaranteed to be completely secure.

Your Data Protection Rights

Depending on the circumstances and the lawful basis used, UK data protection law may give you rights over your personal information. These can include the right:

  • to ask for access to personal information held about you;
  • to ask for inaccurate or incomplete information to be corrected;
  • to ask for personal information to be erased in certain circumstances;
  • to ask for processing to be restricted in certain circumstances;
  • to object to certain processing;
  • to receive certain personal information in a portable format where the right to data portability applies; and
  • to withdraw consent where consent is the lawful basis relied upon.

Not every right applies in every situation. To make a data protection request, email [email protected].

How to Raise a Concern

If you have a question or concern about how your personal information has been handled, email [email protected] so the matter can be reviewed.

You also have the right to raise a concern with the UK's data protection regulator, the Information Commissioner's Office.

Changes to This Policy

We may update this Privacy Policy when the website, enquiry process, service providers or legal requirements change. The date at the top of this page will be updated when a revised version is prepared.
